SUNCAT Blog

SUNCAT is the Serials Union CATalogue for the UK research community.

SUNCAT is a free EDINA service enabling researchers, librarians and others to locate serials held in libraries throughout the UK. The catalogue contains information on both print and electronic serials, including journals, periodicals, newspapers, newsletters, magazines, annual reports and other publications of a continuing nature.

SUNCAT currently contains serials' information from over 70 UK research libraries, including the British Library and the National Libraries of Scotland and Wales. New libraries continue to be added to the catalogue on a regular basis.

UK Survey of Academics: implications for SUNCAT

Whilst it is the norm for services such as SUNCAT to carry out an annual survey (reports are here) of users and their use of the service, it is also most important for those running such services to be aware of how users (actual and potential) approach resource discovery generally.  The report entitled UK Survey of Academics 2012 ,funded by Jisc and RLUK and carried out by Ithaka S+R, is therefore of considerable interest.  The report details the findings from a survey of a sample of UK academic staff with just under 3,500 responses received.
One chapter, of particular significance from a SUNCAT perspective, is that entitled Providing materials to academics: formats and sources.  One most interesting finding is:

“In the case of journal collections, about half of all respondents–slightly more in the arts and humanities than in other fields–strongly agreed that they “often would like to use journal articles that are not in [their] library’s print or digital collections.”
(P.38)

Given that SUNCAT’s principal raison d’ĂȘtre is to provide information on the serials’ holdings (print and digital) of major research libraries (there are currently 90 Contributing Libraries) this makes welcome reading.  Of some worry, though, is the response that, when locating information at the outset of research:

“Overall, the largest share of respondents–about 40%–indicated that they begin their research processes at a general purpose search engine on the internet or world wide web. A slightly smaller share–about one-third of respondents–indicated that they begin their research at a specific electronic research resource/computer database. A relatively smaller share–slightly less than 15% each–of respondents reported starting with an online library catalogue or a national or international catalogue or database”.  (p.21)

For a service such as SUNCAT it is vital for all potential users to know it exists and what facilities it provides.  SUNCAT is assisted in alerting users to the existence of the service by information provided on institutional websites and EDINA is very grateful to the many institutions who have promoted the service in this way.  To assist library staff, a leaflet outlining specific ways some organisations had promoted the service was distributed in 2011 and proved to be a useful source of information.  We will be looking anew at the information in the leaflet and updating it where appropriate.  We will also be looking at other ways of promoting the service and bringing it to the attention of potential users and would, of course, welcome any suggestions on ways we might consider.
There was another response in the report of considerable interest to SUNCAT.

Roughly 3 out of 5 respondents indicated that they often or occasionally use library-provided inter-library loan or document delivery services to access journal articles and monographs. (p.39)

The importance of serving inter-library loan staff has long been recognised.  In the recent survey for the provision of feedback on the new interface  there were requests for the inclusion of British Library Codes and email addresses.  BL Codes will be made available in the initial release of the service and it is hoped to provide the email addresses in a future release of the software.

The report, therefore, is of much interest to SUNCAT.  Whilst it does reinforce some of the reasons for the establishment of the service in the first place, it also is a prompt to us to review our promotional activities to try and ensure that all who might have reason to use the service know about its existence.

SUNCAT Redevelopment Feedback Survey Report

We made a preview version of the new service available at UKSG in early April and just closed this off a few weeks ago. During this period we put up an online survey and encouraged emails to the EDINA helpdesk to ask our users for their views on the functionality and ease of use of the redeveloped service. A full report is now available on our website.

Overall, the response was very positive and any significant issues which were raised, EDINA were already aware of and are currently busy trying to resolve for the next release, due this autumn. Over 70% of the respondents reported that the preview service was better than the current service and we hope to improve this figure further as we iron out the glitches.

“Very bold design, clear and simple. A great improvement. Will encourage use of the service.”

We are happy that the vast majority of respondents found that the basic search facility was easy to use, 89%, and that the newly introduced post-search filters were found to be useful to 83% of respondents. Respondents reported that both the pre and post search filters would be good tools for reducing large result sets and filtering out holdings which might not be of interest, e.g. electronic or print holdings.

“Having the basic phrases in the first drop down box allows an easy search but also one that can still be refined without having to go to advanced search. Limiting locations and institutions is useful, especially for us as a public library as we know a number of locations will not lend so we can limit to those that do.”

Some respondents reported issues related to the display of the results list and the advanced search and work is on-going to resolve these. We were already aware that the Exact Title search was a little too exact – requiring exact matching on punctuation and letter case! Further, the relevancy ranking was not always working as expected, so these are another two areas we are currently concentrating on getting optimised.

The feedback received has been extremely useful in confirming areas we had concerns about and so helping us to prioritise immediate fixes for the next release, while also highlighting other interesting suggestions we can investigate for future releases.

SUNCAT Redevelopment: Focus on Post Search Filters

This is the second in a series of blog posts highlighting some of the new features which will be available in the redeveloped SUNCAT. In this post we are going to focus on how the post search filters will improve the new service, enabling the use of faceted browsing to lead users to the most relevant journal titles and holdings for their needs.

Post search filters will be available from the search results display, down the left hand side of the results list, and will provide similar functionality as you will be familiar with via other discovery services and many commercial shopping and travel websites.

At this point we plan to include the following facets:
  • Institution (the institutions holding the journals returned in the current results list)
  • Format (includes electronic and print formats)
  • Subject
  • Author (organisation associated with journals where relevant)
  • Publisher
  • Year (first published)
  • Place of publication
  • Language
Each filter will also display the number of records in the results set associated with it. The five most common filters from each result set will display for most of the facets, with the option to view decreasingly common filters also available. However, in the case of the institutions facet, filters will be displayed alphabetically to allow you to skim down the list for particular institutions, and in the year facet, filters will be displayed in reverse chronological order.

You will be able to combine filters to drill right down to journal titles matching quite specific criteria, but you will then also be able to simply remove filters to widen your results back up again.

An interesting side effect of displaying the filters is that it is now possible to easily see the variation present in the records supplied to SUNCAT, which goes a long way to explaining why not all the records which we would like to match together do! Part of the next step of the development work will be to try and amalgamate some of the filters so that they display in a more manageable and helpful fashion. For example combining year filters containing no numerical characters, such as “||||”, “uuuu” etc. into one “Unknown” filter. Also publication place filters such as “london”, “London.”, “London,” etc. into one filter for “London”.

You can see the faceted browsing in action on the preview service which will be available until Monday 13th May, so please take a look and let us have your comments via the online survey or by email to edina@ed.ac.uk

The following screenshot shows the filters on the preview service:

Preview the New Look SUNCAT

Good morning from UKSG 2013! As promised last month the new look SUNCAT is now available for you to preview at http://test.suncat.ac.uk

The current service will continue as the primary service for the moment, but we would encourage you to take a look, experiment and let us have your feedback on the new service as soon as you get a chance.

The new service is still in development, so there are still issues to be resolved with keeping it up-to-date, searching and relevancy ranking, but to give you a flavour, the new service:

• Integrates information from the website and the actual service more closely, with the search box, a map of our Contributing Libraries and a feed of our latest news all on the homepage

• Enables searching limited to a specific library or selection of libraries: you will only see the serials’ holdings of libraries you have specified in your search

• Enables searching limited to a specific location or selection of locations, all the way from Inverness to Exeter: again you will only see the serials’ holdings in locations you have specified in your search.

• Plus you can combine library and location limits to suit your individual search requirements

• Enables searching limited to electronic or print serials only: helpful if you only want to see what might be immediately available online or conversely if want to see only material likely to be available via Inter-Library Loan.

• Enables filtering of search results by library, location, subject, organisation, publisher, date etc.

• Enables more sophisticated searching via the Advanced Search option

• Allows you to choose how many records you want to display on your search results screen

• Provides an alphabetical list of all the libraries holding a particular serial title

• Allows you to quickly see if holdings are print or electronic

• Opens up further information about each library, including directions, contact details, British Library code and when it was last updated in SUNCAT

If you are attending UKSG, please come along to the EDINA stand 26 and we will be happy to demo the service for you and answer your questions in person. However, you can also let us know what you think or if you have any questions or suggestions via the EDINA helpdesk at edina@ed.ac.uk

We hope you like what you see!

Preview the New Look SUNCAT in Early April

We’ve been blogging about the new look SUNCAT for a few months now, giving you a look at the new homepage, some background on the technical architecture and also some idea of the new features which will be available. However, we now hope to let you have a preview of the new service itself!

The current service will continue as the primary service until further notice, but you can check out the redeveloped service from 8th April when we preview it at the UKSG Conference (Bournemouth 8-10 April). We will let you know the url on the day and from then on we would encourage you to take a look, experiment and let us have your feedback, good and bad! The service is still in development so the more feedback we can gather at this point the better.

If you are attending UKSG, please come along to the EDINA stand 26 and we will be happy to demo the service for you and answer your questions in person. However, we would also encourage you to let us know what you think or if you have any questions or suggestions via the EDINA helpdesk at edina@ed.ac.uk.

SUNCAT Redevelopment: Focus on Limiting your Search by Institution or Location

This is the first in a series of blog posts which will highlight some of the new or improved features which will be available in the redeveloped SUNCAT. In this post we are going to focus on how the institutional and geographic limits will improve with the new service in comparison to the current service.

Old SUNCAT: You can only select one institution and/or one location per search.

New SUNCAT: Select as many institutions/locations as you like per search. Also, in the future, we hope to allow you to select and save your preferred group of institutions as your default search preference. We would also hope to set up some pre-selected groupings based on institutional consortia or geographic area. For example these might include UK Research Reserve (UKRR), Scottish Higher Education Digital Library (SHEDL) or Wales, North West England etc.

Old SUNCAT: Only one location (normally the main library) is recorded for each institution on the service, so the geographical location limit is, therefore, not always exact.

New SUNCAT: The new service records all of our contributing institutions’ physical libraries so limiting by location is now much more granular and precise.

Old SUNCAT: You can’t select an institution if it’s outside a location limit you have also selected. For example if you choose to limit your search to the location of “Edinburgh” you cannot then, in addition, select and search on an institution outside Edinburgh, e.g. the University of Glasgow

New SUNCAT: You can combine your limits to create very specific searches tailored for your individual requirements. For example, you can create a search limited to the location of “London” but then also include individual institutions outside London, e.g. University of Oxford.

Old SUNCAT: Although a search with limits applied does only return titles held by that institution or within that location, holdings from other institutions/locations outside of the selected limits will also be displayed.

New SUNCAT: Only holdings within the institutions or locations selected will be returned and displayed, creating a clearer more focussed result and record display.

Naturally, the improved recording of institutions’ individual library locations and the improved functionality of the limits are both vital for the new SUNCAT mobile app which will also be released later this year.

If you have any questions or suggestions about how the limits will work on the new SUNCAT or on the development in general, please contact us at edina@ed.ac.uk.

SUNCAT Survey Report 2013

We’ve just published the report from our Benefits and Impact Survey for 2013. The survey was launched back in November and closed at the end of last month.

The report confirms SUNCAT’s primary role as a centralised source of serials information and UK holdings, with 75% of responses stating, either locating serials and articles, or checking bibliographic information, as the primary purposes for using the service.
The key features of the service which are most valued by the respondents include:
  • SUNCAT’s comprehensive coverage
  • Its aggregation and display of serials information and UK holdings
  • The accuracy and currency of the data provided
  • The speed and ease of use of the service
We are very happy to see that the vast majority of respondents find SUNCAT not only easy or very easy to use (86%) but that it also saves them time (89%). Further, 97% indicated they would recommend the service to others.

“It is such a comprehensive reference source it would take me much longer to check information elsewhere.”

“SUNCAT is easy to use and its coverage of UK serial holdings is great.”

“Very trustworthy, fast and comprehensive. Records are to a very high standard.”

“Find Suncat invaluable. If it wasn't available I would try to source an alternative. Don't know what though!”

We also used the survey to find out what improvements our users would like to see in SUNCAT so that we can use this information to plan and prioritise our future developments. A number of the suggestions related to the data provided by the SUNCAT Contributing Libraries (CLs), both requesting more detailed holdings information and also providing additional information such as licensing restrictions for electronic serials. While this area is not one EDINA has immediate control over we do take note of these ideas, in the hope that if our CLs start recording and linking such information to their serials records, we would be able to start incorporating this into SUNCAT.

However, with regard to suggested improvements related to the SUNCAT interface we are happy to report that a number of these will be addressed as part of the redevelopment of SUNCAT, announced in November and mentioned in the previous posting. These include:
  • Moving the search functionality to the homepage of the service to integrate the service and website more closely
  • Providing a print/electronic serials limit to the search functionality to enable users to pre-filter their search by format
  • Adding print/electronic icons to the holdings display to enable users to more quickly and easily distinguish between print and electronic holdings
It is also good to know that our users are keen to see the service continue to expand and we will indeed be continuing to add new libraries throughout 2013.

Additional suggestions, described in the report, were also received and we will be investigating the feasibility of these and where possible adding them to a list of requirements for future development work.

SUNCAT Redevelopment: Technical architecture overview

Back in a post in November 2012 we announced that EDINA is redeveloping the existing SUNCAT search platform. We also gave you a preview of the new design and now we want to follow these posts up with more technical information about the new architecture.

New Search Platform

The cornerstone to the SUNCAT service is the ability to search for libraries’ MARC records and we wanted this to be as efficient as possible within the new architecture. We have therefore decided to use the open source enterprise search platform ‘Solr’ from the Apache Software foundation given its popularity and feature set.

We have established a workflow, which exports records from Aleph (currently used for loading and de-duplication of libraries’ serial records) and indexes these records within Solr.

The diagram below illustrates the process:

Individual MARC records are exported from Aleph and these are then grouped into MARC collections. A MARC collection consists of records from the libraries holding a particular serial.

These MARC collections are then indexed in Solr using a modified version of the open source solrmarc code.

Currently the Solr index consists of over 5 million individual library MARC records and in terms of storage sizes, this equates to over 30GB on disk.

New Interface

Storing all of the records in Solr however is only part of the new architecture. We are developing a new user interface for the SUNCAT service, taking the opportunity to also incorporate some new features that exploit the power of Solr.

A combination of the Java programming language, Groovy programming language and the Grails framework has been chosen as the software stack as it enables a rapid development process and also leverages the experience of developers within EDINA.

Grails follows the highly popular software design pattern of Model View Controller, which allows separation of concerns and a clean software design.

The following diagram illustrates at a very high level the architecture we are using and how Solr is involved:

We are developing a number of ‘controllers’, which are used to process user requests and issue queries to Solr as and when required. These controllers are designed for specific tasks e.g.

• Handling search requests

• Handling API requests

• Handling requests to view details of a specific MARC record etc.

We also have a number of templates that comprise the ‘views’ of the new system. When a controller has completed the processing of the user request and it is ready to return something to the user (e.g. a web page), it uses the relevant template and injects the correct data e.g. the search results. Using a template approach for all of the views of the system provides a huge amount of flexibility as we have full control of all visual aspects of the service and we can even support different output formats based on the user request e.g. supporting HTML, XML, JSON etc.

Enabling Searching at Library Level

We are also spending time in constructing a database to store institution, library and location data and integrating this within the new user interface in-order to allow users to perform more detailed searches within SUNCAT. For example searches can be performed at the library level whereas previously users could only search at the institutional level. We have also tagged every library with its GPS coordinates, which allows us to show all SUNCAT contributing libraries in a map interface and will allow proximity based searching in the forthcoming SUNCAT mobile application for iOS.

We will be keeping you up to date with more posts, about the redevelopment and the mobile app, to follow over the next few months.

SUNCAT Redevelopment

We reported in a blog post in November that a new interface for SUNCAT is being developed and since good progress has been made we are keen to share with you more details on what we are doing and perhaps more importantly when we plan to show what has been done. We are working towards having a public preview of the new interface early in April.

Building up to this we will have a blog post next week on the technical architecture which has been adopted. This will be followed by blog posts on the functionality, which will be available initially, and outlining the details for the public preview. We are very keen to find out from our users what they think of the development and accordingly will be asking for feedback after users have had a chance to view the interface.

Future blog posts will include sharing the roadmap of our planned developments until the end of the year and providing information on specific aspects of the technical developments.

It’s clearly a busy time for us but we feel that it is time and effort well spent as we will be in a position to develop and implement requested functionality much more quickly than we have been able to in the past.

SUNCAT and Voices for the Library Twitter Takeover

On Monday, 4th February, one of the SUNCAT Project Officers kicked off the Twitter Takeover of the Voices for the Library (@VoicesLibrary) in the run-up to National Libraries Day on Saturday, 9th February. Check out Twitter for #nld13 to see what libraries across the UK are doing.

To give a bit of background:
Voices for the Library (@ukpling) describes itself as “Publicising the Public Library Services in the UK and the work librarians do.” Their sister Twitter account is @VoicesLibrary, which has a “new librarian every day”. As described in an earlier blog post, a call was put out on the LIS-PROFESSION mailing list, asking for librarians from all walks of life who would be willing to talk about where they work, and what makes it so special. Natasha Aburrow-Jones (@TashaAJ), the SUNCAT bibliographic Project Officer, was selected to kick off a week of diverse librarians talking about their roles (others include a museum librarian, a public librarian, an art librarian, an NHS librarian and a University librarian).

Natasha says:
“I applied to be one of the Voices for the Library in the run-up to National Libraries Day as I wanted to tell everyone what a fantastic service SUNCAT is, and how the team behind it are so dedicated to their work. I also wanted to point out that SUNCAT is not merely a librarian’s tool – it’s available for anyone (everyone!) to use.
I was somewhat surprised / most honoured to be selected to be the first Voice; I presumed that my role was so specialised, that it wouldn’t have great appeal to everyone. However, that presumption seems to have been blown out of the water with the comments I’ve received since undertaking the #TwitterTakeover!”

Over the course of the working day, Natasha issued 42 tweets, mainly covering the work that lies behind SUNCAT, to show what happens during the average SUNCAT day. This included talking about the range of libraries that contribute data to SUNCAT, the continual updating of the database, the “Weird and Wonderful” titles found in SUNCAT (and are blogged about thematically), data munging, ease of searching SUNCAT and what a timesaver it is, etc. She also mentioned the new interface that SUNCAT will be having in the near future.

A Storify made up of the tweets has been put together, and can be found here:
http://storify.com/edinadatacentre/suncat-serials-union-catalogue-for-the-uk
You can look at the tweets as they happened, and the responses.

There was much re-tweeting, spreading as far as Sweden, the United States and Australia. It also meant new followers for both @TashaAJ and @suncatteam. Comments included:
(On the new SUNCAT interface) “Wow, that looks very different. I rely on SUNCAT to identify libraries to source articles for ILL requests.”
“Are you doing a "Weird & wonderful" libraries SUNCAT post for National Libraries Day?” – we are now! The post will be put up on Friday, in time for National Libraries Day on the 9th February.
“I’ve never used SUNCAT so I learnt a lot!”

Voices for the Library Twitter takeover

You may have seen a recent call on LIS-PROFESSION for a call for a Twitter takeover of the Voices for the Library account to celebrate National Libraries Day on the 9th February. The call said:
What do Librarians actually do? As part of National Libraries Day, we want to celebrate librarians of all shapes and sizes. A librarian a day will take over our sister account @ukpling and share their experiences of working in the library and information profession.

Well, you might be interested to know that the first Twitter takeover on Monday 4th February will be none other than @TashaAJ - normally known as Natasha Aburrow-Jones, the SUNCAT Bibliographic Project Officer.

@VoicesLibrary said it best:
Interested in finding out more about what goes on at SUNCAT Union Serial Catalogue? Our first tweeter for #nld13 is @TashaAJ. Starts 4/2/13

Feel free to follow either @VoicesLibrary and/or @TashaAJ and see what goes on in the SUNCAT team!

RDA survey

SUNCAT is sending out a survey to Contributing Libraries on Monday, 4th February, to discuss what the libraries are doing with regards to the adoption of RDA (Resource Description Access), the new cataloguing rules that are due to replace AACR2 (Anglo-American Cataloguing Rules, 2nd edition).  The results will help with integrating RDA into SUNCAT, for example, in adding new MARC21 codes for display, new indexing routines, etc. The analysis of the answers will also form the basis of a paper that has been accepted for publication in Alexandria: the journal of national & international library and information issues (0955-7490), in a special RDA-themed issue.

We would be very grateful if our Contributing Libraries completed this survey. We are happy to receive more than one questionnaire from any given Contributing Library, as there may be different answers from different departments, etc. The survey will be open for 3 weeks.
